A WORKED EXAMPLE / SAMPLE SCHEDULE
Plan a 60-minute call with New York and London working 09:00–17:00, and Dubai working 10:00–18:00, Monday–Friday. With New York as the date basis, 09:00 fits the entire call inside all three schedules on both dates below.
Why not start 30 minutes later? At 09:30 in New York, Dubai’s call would run 17:30–18:30: 30 minutes fall outside its chosen hours. A convenient start is not enough if the meeting finishes too late.
Why check both dates? London’s UTC offset changes between these Fridays; New York’s and Dubai’s do not. Keeping 09:00 in New York therefore moves London’s call one hour earlier. A recurring calendar series needs a date-by-date check.
These are illustrative settings, not anyone’s confirmed availability. Each example opens a separate planner so your current plan is not replaced. Change the duration to 90 minutes to see why the shared one-hour window no longer fits; the downloaded calendar file still creates only one event.
A LITTLE MORE CONSIDERATE
Set the days and hours for each location. Overnight shifts belong to the day they begin, so Friday night can continue into Saturday morning.
A 60-minute call beginning at 16:30 is not fully inside a 09:00–17:00 workday. We check every 15-minute segment, including the end of the meeting.
Offsets follow your chosen date. A spring-forward day can have 23 hours; a fall-back day can repeat a clock time. Each suggestion represents one real moment.
First, by the number of locations whose selected hours contain the entire meeting. Then, by the fewest total minutes outside those hours. Ties favor starts closest to noon in the date-basis location, then the earlier real start time. Every start uses a 15-minute step.
We say so and show the least-conflicting alternatives. “Best available” does not mean everyone is available. Adjust the date, duration or hours, or agree on a compromise with your participants.
Your browser’s time-zone database supplies date-specific offsets. Missing spring-forward times are omitted; repeated fall-back times have different UTC offsets. Keep your browser and operating system updated for recent government time-zone changes.
The date, chosen start time, duration, time zones and working-hour preferences are stored in the link’s fragment (the part after #). The event title is excluded. Anyone with that link can read its settings. A fragment is not sent in the normal HTTP request, but sharing a link is not encryption.
The calendar download is a single event with a fixed UTC start and end. A recurring meeting may move relative to other locations when daylight saving changes. Recheck future dates before creating a repeating event in your calendar.
No. Results use only the days and hours you select, not public holidays, leave, personal calendars or travel. The planner supports 1–8 locations, dates from 2000–2099 and meetings of 15–180 minutes. It does not send invitations.
